Team Captain’s Best Practices

Recruit Committee Leads

Captains should consider recruiting several committee leaders for their respective teams. Organizing committees makes the work of the captains easier.

Key committee roles would include:

Golf Cart Committee

  • Determine the theme and decorations for the golf cart entry, establish budget
  • Provide a golf cart decorating package for other team golf carts participating in the parade

Lip Synch Director

  • Select song and participants for the Lip Sync Competition
  • Manage the rehearsals for Lip Sync, the top teams rehearse for about 2 months prior to performance
  • Determine props and backdrop for Lip Sync performance
  • Provide costume guidelines to Lip Sync performers
  • Establish budget

Wearables Coordinator

  • Determine a logo for the team
  • Find a T-Shirt/Hat/Wearables vendor
  • Work with team members to take T-shirt orders and collect money

Team Tent Manager

  • Olympic Village tent set-up and decoration
  • Ensure that there are snacks/water etc. in the tent during the games
  • Tent tear-down and clean-up after the games

Recruit Participants

One way to gather your teammates together is to hold a driveway party

  • Put out signup lists for:
  • Game Events
  • Event Leads
  • Lip Sync Performers & Lip Sync Helpers
  • Golf Cart Decorators & Drivers
  • Cheerleaders
  • Ask if any of your teammates have any talents they can contribute such as handyman to help with Lip Sync and Golf Carts
  • Artist for t-shirt, Lip Sync and Golf Cart designs
  • Confirm email addresses, phone numbers & t-shirt sizes


Raise Funds

If you can find ways to raise funds it will help cover expenses for:

  • Golf Cart decorations for team entry
  • Cheerleader uniforms
  • Team Banner, Flags, Signs & T-Shirts
  • Lip Sync set supplies, props & costumes
  • Decorations for your team tent in the Olympic Village
  • Bagged snacks/energy bars/water bottles/sports drinks for your team tent during the games


Fundraising Ideas

  • Conduct “Driveway” Happy Hours for your team members - Have a 50/50 drawing to raise funds to support the games
  • Put together a few baskets of cheer and do a basket raffle
  • Pass the hat at a neighborhood function
  • Ask a neighbor to host a Happy Hour where monies can be donated


How Much to Raise

  • The amount depends on the budget for the committees; however, our experience has been that we are spending between $350-$500 annually.
  • Some teams may have items that can be used from prior years or can have materials donated. This helps reduce the need to raise as much money each year.


Keep Your Teammates in the Loop

  • Email Communications
  • Keep teammates up to date of schedules, needs, etc.
  • Be aware, some people don’t like too many emails
  • Create a team Facebook page
